Site Administrator

We are searching for a Site Administrator to join our client in Peterborough. 

You would be providing professional administrative support to the Hospital, Site Manager, Team Leader and Engineers by consolidating and streamlining administrative operations, creating and monitoring reports and producing correspondence and documentation to a high professional standard. Build long term relationships with customers, subcontractors and staff to ensure responsiveness and superior customer  service.

Duties will include:

  • Request, acquire and validate quotations for both renewals and new external contracts
  • Create delivery notes for external contracts as services are received.
  • Administer external contracts and manage the external service reports on our   computerised maintenance management system. Ensure completeness of documentation and that all equipment on contract is serviced in a timely fashion
  • Liaise with external suppliers to arrange service visits
  • Create orders for parts, goods and services as needed
  • Complete associated admin needed to close repairs
  • Maintain spare part stock wherever necessary
  • Maintain service documentation in line with business requirements
  • Liaise with 3rd party suppliers for spare parts and quotations
  • Ensure data integrity at all times
  • Deal with service staff and management when required
  • To attend, take minutes customer meetings when required
  • Receipt and label spare parts and goods on delivery and create delivery notes as parts, goods and services are received
  • Sending equipment & goods to suppliers
  • Assisting with auditing in line with contractual requirement
  • Checking the outstanding PO’s and deal with invoices queries
  • Logging/Booking call outs, jobs, servicing for the engineers with customer and closing jobs in CMMS after work completed by internal or external engineers
  • Assist with coordinating daily front-line service (working closely with the Team Leader)
  • Maintain the department’s office supplies and stationary as required
